How do I archive a project or a folder?

Archive a closed matter from the Projects list to hide it without deleting anything. Find it under Archived projects, and unarchive it in one click.


Archiving takes a project off your Projects list without deleting anything. The statements, the transactions, the reconciliation work, and every report stay exactly as they were. Use it when a matter closes and you want it out of the way but still on hand.

How do I archive a project?

Archive from the Projects list. There are three ways:

  • Right-click the project and choose Archive project.

  • Open the menu at the end of the project's row and choose .

  • To archive several at once, select their checkboxes and click Archive.

There is nothing to confirm, because nothing is lost. The project leaves the list right away and a short message says "Project archived."

How do I archive a whole folder?

In the Folders section of the Projects list, right-click the folder, or open the menu at the end of its row, and choose Archive folder. Every project in the folder is archived in one step.

The folder then drops off the list, since a folder whose projects are all archived has nothing left to show. It is still there. Unarchive any one of its projects and the folder comes back with that project in it.

Where do archived projects go?

Click Archived projects at the top of the Projects page. It opens one list of every archived project across all your folders, with a Folder column so you can tell where each one lives. The back arrow beside the heading returns you to your folders and projects.

An archived project keeps its folder. It is hidden from the folder page and from the folder's project count while it is archived, and it goes back to the same folder when you unarchive it.

How do I unarchive a project?

  • From the Archived projects list, right-click the project, or open its row menu, and choose Unarchive project. Select several and click Unarchive to bring a batch back.

  • From inside the project, click Unarchive in the header, next to the Archived badge.

There is no "unarchive folder." Bring back the projects you want and their folder returns with them.

Can I still open and use an archived project?

Yes. Archiving only changes where the project is listed. Open one from Archived projects and every tab works the way it did: you can read the ledger, ask Daystrom, run a report, even upload more statements. The header carries an Archived badge so you know where you are.

Two things do change while a project is archived:

  • It is left out of Combine. Combining a folder reads only the projects that are not archived.

  • Its row menu is shorter. In the Archived projects list a project offers Unarchive project and Delete project. To edit or duplicate it, open the project and use its Actions menu, or unarchive it first.

Archiving does not change your plan, your credits, or a project's expiry date. Anyone on your team can archive and unarchive.

Why is Archive project greyed out?

The project is busy. A project cannot be archived while its statements are processing, or while it is being combined or duplicated. A folder cannot be archived while any project in it is still processing. Wait for the status to settle and try again.

Should I archive or delete?

  • What happens to the data. Archive keeps everything, and the project still works. Delete removes the project, its statements, and everything read from them.

  • Whether it can be undone. Archive can, with Unarchive. Delete cannot.

  • Whether it asks you to confirm. Archive does not, since nothing is lost. Delete does.

  • Where you do it. Archive from the Projects list. Delete from the Projects list or the project's Actions menu.

Archive is the right call for a closed matter you may have to reopen. Delete a project only when you are sure you will never need its records again.
